All you need to know to have access to our site

 

Arrival and departure

Upon your arrival at the entrance gate, make yourself known to the site security staff. You must provide your passport or identity card. A site badge will be prepared and you will receive an envelope containing your canteen card and your GuestHouse key.  The GuestHouse Reception opening hours are Monday to Friday: 07h00 to 20h00, week-ends and public holidays: 07h00 to 12h00.

If you wish to have access to the library outside working hours, please request this when the guardian prepares your site badge.

If you plan to arrive at the weekend or outside normal working hours (working hours: Monday to Friday, 08h00 to 17h00) please pay particular attention to the above details, since administrative staff will not be available at these times to help sort out difficulties.

On departure, please return your key to the GuestHouse and your badge to the site security staff at the gate in order to recover your passport/identity card.


Accommodation

The ESRF provides access for its industrial customer to the GuestHouse. It is located on the ESRF site, to the right of the main gate as you enter. The GuestHouse has 114 single bedrooms and 20 twin rooms. The price per bed per night, including tax, as from 1st January 2012, is :

33.13 € for a single room
26.81 € per person for a twin room
1.86 € per person for breakfast

Please note that these rates are valid until 31 August 2013.

Should it not be possible to accommodate you in a single room in the GuestHouse, we need to know whether you would prefer to share a room at the GuestHouse, or have a single room in a hotel in central Grenoble. Please mark these preferences on the Form A.

If you require a telephone in your room to make external calls, you may request a telephone line from the GuestHouse Reception.

Please do not contact the GuestHouse directly for reservations or modifications to reservations, do this by (re-)submitting the electronic Form A.

Breakfast is served in the GuestHouse on the ground floor (07h00 to 10h00) 7 days a week.


Canteen Cards

Other meals are served in the joint ESRF/ILL canteen on site. To eat there you will need a canteen card which you request in advance, by marking the request box on the Form A.

In this case, you will receive a canteen card in your envelope at the site entrance, and you need to then charge the card at the canteen/cash desk at the entrance to the Common Building before your first meal. If you forget to request the canteen card before your arrival, you will need to ask for one at the ESRF Reception (ESRF Central Building), between 08h00 and 17h00.

 

The canteen is open at the following times :

Dinner 19h00 to 20h30
Weekends and holidays
Lunch 12h00 to 13h30
Dinner 19h00 to 20h30

 

In order to be reimbursed any remaining funds on the card, you should go to the canteen cash desk during these opening hours on your last day, after your last meal.

If you are a frequent visitor, it is possible to request an Annual canteen card - please contact us directly (industry).


Safety training

Please note that as a user of the ESRF, you must follow an obligatory interactive safety training course on the web.

You must follow this training course BEFORE you come to the ESRF and BEFORE the A Form is submitted.  Indeed, it is not possible for the Main Contact to submit the A Form (site entry, accommodation, etc) if you have not followed and validated this safety training electronically.  You should log on here and select the tab "Safety": https://wwws.esrf.fr/misapps/SMISWebClient/

The course lasts about 20 minutes and is valid for ONE YEAR (instead of the previous three months), so you do not need to re-do it if you return to the ESRF within this time. There is more information on this in the envelope that you will be given upon arrival at the ESRF site entrance.

When on the ESRF site, you only need to dial the last 4 digits, including for the ILL numbers.

Special medical conditions

If you wear a pace-maker or any ferromagnetic medical aid (prothesis), please contact the Medical Service before you enter the Experimental Hall. The Medical Service is situated opposite the Canteen, and is open Monday to Friday from 08h00 to 12h00 and from 13h00 to 17h00, should you need advice or help.


Medical insurance in France

Insurance for scientists coming from a European Union country

Before you leave your country, be sure that you have the following forms :

E101 : Document which certifies that the holder continues to pay social security in his/her country whilst working temporarily in another EU country

Plus either
CEAM (European Card for Sickness Benefit): For those persons who will be detached in France for a period not exceeding 1 year, or for the first year of a longer detachment.
or
E106 : For those persons who come for a period of over one year, or, in case of an extended work period, the second year.

These documents certify that the holder is temporarily affiliated to the French social security and is therefore entitled to medical treatment, partially or entirely reimbursed by the French social security, whilst working in France.

Prior to departure, the employer should contact the social security office (International Relations) of his/her country, who will prepare and complete the forms accordingly.

You will be asked to provide them by the French social security in case of illness or (works) accident.

Insurance for scientists coming from outside the European Union

You do not need any of the above forms as you are not entitled to a temporary affiliation in France. You should keep all invoices and receipts to give to your own social security and/or private insurance company.

Scientists coming from Quebec need the form E401Q101.


Visa requirements

Persons of nationality other than that of European Union countries, the USA or Japan are advised that a visa will probably be necessary to enter France. Bear in mind that you must apply for a visa at least one month before your expected departure for Grenoble. If you require a French visa our Personnel Department can supply you with a special Form called "Protocole d'Accueil d'un chercheur ou d'un enseignant-chercheur étranger" provided you communicate to the Industrial and Commercial Unit by e-mail (industry) the following information : First name - Last name - Nationality - Date and place of birth - Private address - Position - Employer's name - Employer's address - Dates of your stay - Address during your stay in France.


Library

You are welcome to consult books and periodicals in the joint ESRF/ILL Library, which is on the first floor of the Common Building, above the Canteen. You will not, however, be able to borrow (ie. remove from the Library) any documents. Please restrict photocopies to an absolute minimum. Library opening hours are Monday to Friday, 08h30 to 17h30.
