The ARRANGEMENTS for persons being reimbursed by ESRF are the following
The ESRF Travel Office can provide pre-paid air tickets and pre-paid train tickets for the users subsidised by the ESRF. When completing the A FORM, the main proposer must tick the appropriate "Travel Office" box only for the users who wish pre-paid tickets. Please note that the Travel Office can book plane/train tickets for a reimbursed user only after the reception of the electronic A Form.

weeks before the planned departure for ESRF, mentioning the date
and the preferred time (morning/afternoon/evening) of departure, and the
date and preferred time for the return journey. The tickets will then
be delivered pre-paid to the airport from which you depart.
CAR HIRE from airports
When all the participants entitled to be reimbursed (normally up to 3) for an experiment travel together by air through the airports of Lyon Saint-Exupéry or Geneva Cointrin, the ESRF will pay for a rental car instead of the airport shuttle, provided the booking is made through the ESRF Travel Office.

TRAVEL BY (personal or rented) CAR
A private car can be used:
- for the transport of two or more "reimbursed" users involved in the approved experiment (without prior authorisation),
- to transport equipment necessary to carry
out the approved experiment: please request prior authorization to the User Office,
- when no ticket is available for a single (reimbursed) user involved in the approved experiment (without prior authorisation)

ACCOMMODATION
Visitors invited for experiments will be accommodated in the Guesthouse, which is located on site, to the right of the main gate as you enter.
Request for accommodation arrangement is made only through the electronic A FORM submitted by the main proposer of the experiment. Do NOT contact directly the Guesthouse for a booking.
You will receive confirmation by email of the booking.
The price per bed per night, when paid by guest, is from 1st September 2011:
- 34.99 Euro (tax included) for a single room, breakfast (1.86 Euro) included;
- 28.67 Euro (tax included) per person for a twin room, breakfast (1.86 Euro) included.
For users receiving a contribution towards expenses, the costs of the room and breakfast will be paid directly by the ESRF.
For users not being reimbursed by the ESRF, they will have to pay their stay directly at the Guesthouse (in cash, by cheque on a French bank or by credit card).
N.B.: Outside the Guesthouse Reception opening hours (Reception opening hours: Monday to Friday: 07h00 - 20h00, week-end and public holidays: 07h00 - 12h00), the room key is given at the Site Entrance, together with other useful documents/information.

MEALS
!! NEW: from May 2012 your SITE ENTRANCE BADGE is used for the payment of meals at the ILL/ESRF common restaurant !!
Breakfast is served in the Guesthouse (cost: 1,78 Euro).
Other meals are served in the joint ILL / ESRF common restaurant on site. To eat there, you will need to tick the box "canteen card" on A FORM.
- Persons reimbursed by the ESRF: your site entrance badge, which is used for payment of meals at the ILL/ESRF common restaurant, will be pre-charged with a number of points, corresponding to the length of your experiment.
- Persons not being reimbursed by the ESRF: you need to charge your site entrance badge at the canteen/cash desk at the entrance to the Common Building before your first meal.
If you charged your badge, you will be able to get your money back at the cash desk (open during mealtimes and also from 9h00 to 11h00 and from 13h30 to 15h30 from Monday to Friday).
