Experiment Reports
Please note that experiment reports on public beamtime will be stored on the ESRF web site and will be accessible to internet indexation engines such as Alta Vista or Google.
STANDARD EXPERIMENT
If you have been allocated beam time for an experiment at ESRF you are required to submit a report via the ESRF User Portal (SMIS).
DEADLINES for submission of experimental reports are:
- 1st March for experiments carried out up until August of the previous year;
- 1st September for experiments carried out up until February of the current year.
If you are submitting a proposal for a new project, or to continue a project for which you have previously been allocated beam time:
- you must submit, via the User Portal a report or, if necessary, a preliminary report - on your measurements,
and - supply a reference to this report in your new request for beam time, by indicating the corresponding experiment number.
DEADLINES for submission of experimental reports to be linked to a new proposal:
- 14 March for a proposal submitted for the Proposal Round of 1st March
- 14 September for a proposal submitted for the Proposal Round of 1st September
(i.e. within two weeks following the proposal submission deadline)
The Review Committees have also requested that you supply references to reports on measurements on CRG beamlines.

MX non-BAG EXPERIMENT
If you are applying for non-BAG beam-time on one of the ESRF MX beam lines and you have already performed an experiment at ESRF using this method, you are required to submit a Standard Experiment Report via the Electronic Utilities for Users application and to indicate the report number under the Relevant Reports section of the new application. Failure to submit these will mean that applications for beam-time will NOT be considered.
There are no deadlines for submission of these experimental reports but they should be submitted before, or at the time of, the new application.

BAG EXPERIMENT
BAGs are required to submit a Report with each new Application for BAG beam time, highlighting publications submitted to journals, in press, or already published, and reporting on the measurements made during each visit. An unsatisfactory performance record could result in a BAG having its allocation reduced or removed completely. On the other hand, a very high standard of performance could result in an increase in the block allocation.
BAG Groups to whom instruction have been sent, should submit a BAG Progress Report. This report form is now part of the electronic BAG Application for Beam Time and should be submitted together with the electronic BAG Application. LONG TERM PROJECT EXPERIMENT
The monitoring of LTPs will be undertaken by the awarding Beam Time Allocation committee. Normally, an interim report at the conclusion of the first year of the LTP will be required; however, the form of report (i.e. whether a standard ESRF report is sufficient) and the frequency of submission of a report (e.g. every six months or after one year, together with the final report) will be decided by the committee.
The committee has the right to recommend termination of a Long Term Project at any time throughout the allocation period.
