GUIDELINES for preparing
an Application for Test Crystals Beamtime

 GENERAL INFORMATION

A limited amount of test beam time will be available during the next scheduling period on ID13, ID14 and ID29 to allow crystals to be tested to determine the quality of the diffraction pattern, resolution, stability to radiation damage,etc., prior to preparing a formal application for beam time. The total time scheduled for test experiments will not normally exceed 3 shifts on each of ID13 and ID14. The following conditions will apply:

  • Time for each test will be limited normally no more than 2 hours;

  • Applications can be submitted to the User Office at any time and should be made by submitting the electronic Test Crystals Beam Time form and the electronic Sample Sheet, which provides full details on samples to be studied during the experiment: please consult the instructions given below very carefully;

  • Requests will be treated in order of arrival at the ESRF User Office, who will then transmit the request to the Beamline Responsible.



IMPORTANT

Particular attention should be given to the safety aspects (see details), and the name and characteristics of the substance(s) completed carefully.

The electronic Test Crystals Beam Time form contains a "Sample Environment " paragraph, but full details (description, Safety aspect, ....) of the sample(s) to be studied during the experimental session must be provided to the ESRF scientific staff (Safety Group, Beamline Responsible and Local Contact). This is done - after the submission of the Test Crystal Beam Time form - by the main proposer (or the co-proposers) through the completion and submission of an electronic SAMPLE SHEET.

Please consult the instructions given below carefully for the electronic submission and be aware that all sections of the forms must be filled in.

 


INSTRUCTIONS FOR THE ELECTRONIC SUBMISSION OF A TEST CRYSTALS BEAM TIME FORM


 

The Electronic Submission is done through the ESRF User Portal (SMIS). You will require your ESRF login (last name) and personal password to login to the application. If you are registered in the ESRF data base but you have forgotten your personal password, kindly contact the User Office by e-mail (user office). If you are not yet in the ESRF data base, you will be able to create your own user account and to access the proposal submission application.

IMPORTANT: Should you run into difficulties submitting your proposal electronically contact the User Office who will give you instructions to proceed with the electronic submission of your proposal.



The electronic submission consists of the following steps:

  • tab "Proposals / Experiments"
  • "Proposals" (in the left menu)
  • tab "New proposal"

 

  • SELECT the electronic beamtime application form for a Test Crystals Experiment

  • COMPLETE and SUBMIT your electronic beamtime application form: data registered in this proposal (details for the main-proposer, the co-proposer(s), proposal title, beamline(s) and shifts requested,...) is submitted directly into an ESRF data base;

    Once saved the recently submitted proposal is given a REFERENCE NUMBER and registered for further process under the tab "Proposals in Progress". It can be modified until  the validation by the main proposer.



  • COMPLETE AND SUBMIT the "Sample Information and Safety Sheet" for your new proposal (action "Manage your samples")

    The submission of AT LEAST one Sample Sheet is MANDATORY to allow the validation of the proposal by the main proposer.


  • VALIDATE the PROPOSAL and ASSIGN A FINAL NUMBER
    The submission of your new proposal will NOT be complete unless you validate it.

    A PDF file of your complete proposal is issued by the application: please CHECK IT carefully before you validate it.

    VALIDATION and TC FINAL NUMBER:

    After the VALIDATION by the main proposer, the proposal will be given a FINAL NUMBER which will be of the type: TC-###. An automatic notification will inform the ESRF staff of the submission of the TC Experiment.

    The TC Experiment will be registered in the ESRF User Portal (SMIS) under the tab "Proposals with Final Number / Experiments"


WARNING!

ONCE VALIDATED BY THE MAIN PROPOSER AND REGISTERED IN THE DATA BASE WITH ITS FINAL NUMBER, A PROPOSAL CANNOT BE ANYMORE MODIFIED

 

 

  • ACKNOWLEDGEMENT of your proposal

    The User Office acknowledges the submission of the proposal by e-mail to the main proposer.
