Final Announcement

On 8-11 February 2005, the ESRF will host the annual Users’ Meeting and satellite workshops. The Meeting is a privileged forum where ESRF users, and more generally all scientists interested in cutting-edge research with synchrotron radiation, can exchange their views on the latest scientific and technical developments.

The Plenary meeting will take place on Tuesday Feb. 8 (afternoon) and Wednesday Feb. 9 (morning) in the ESRF main auditorium. The Long-term strategies for the facility will again draw considerable attention, with technical updates, open discussions, and a plenary “hardtalk” session with the ESRF Directors. The scientific programme will also feature topical sessions, with invited talks and reports from the beamlines, and a plenary poster session. The 2005 Keynote speech, the “Young Scientist Award Talk” and a special celebration of 10 years of users' operation will complete the plenary programme.

The Meeting will be followed by two satellite workshops which will explore the new scientific opportunities which may be opened by a future generation of detectors, and the promising emerging applications of synchrotron radiation to art and archeology.

Posters

Participants are strongly encouraged to submit posters on their recent work. Posters for the Users’ Meeting MUST be registered, using the appropriate section of the registration form. Please indicate with the submission which authors are students.

A special web page will display the list of posters registered for the Users’ Meeting ONLY (poster session on 8 /02 afternoon), with links to the posters' PDF files. To have your poster displayed on that web page, and after the submission of your electronic registration form, and not later than Monday 31st January, please send a PDF file of your poster attached to an e-mail, : the size of the PDF file of your poster must NOT EXCEED 5 MB. The list will be frequently updated, and will be accessible on-line from January 22, 2005.

Please specify in your accompanying e-mail:

  •  the field of research to which your poster belongs, according to the ESRF experiment groups (or the corresponding beamline),
  •  the poster title which then will appear as link on the web page.

In case of a technical problem, please send an e-mail.

Embargo policy: Authors of posters reporting work which may fall under an « embargo policy » can submit a pdf file with the title and an abstract, and mention the embargo policy clause. Note however that only posters for which we have received a PDF file and displayed on the special "Poster" web page, will be eligible for the ESRF best poster award.

 

 The maximum dimensions of the printed posters are 110 cm (height) by 85 cm (width).

  


Commercial Exhibitions

This year again, the ESRF Users’ Meeting will take place on the ESRF. The plenary sessions will start on Tuesday February 8, 2005 at 14:00 and finish Wednesday February 9, 2005 at lunch time.

During the event we offer a few exhibition areas to companies interested in presenting their products. The area available is one table plus two poster panels to be located on the two existing main levels of the ESRF, giving the opportunity for easy interaction between exhibitors, visitors and the ESRF staff.

The fee for the stand and one exhibitor is 750 Euro ( VAT included) plus 110 Euro (VAT included) for each supplementary person representing the company. Industrial exhibitors are requested not to register via the web but to ask for the necessary forms at the address given below.

Important: For late registrations (from Saturday 22 January) and registrations on-site, the fee will be 130 Euro instead of 110 Euro. Note that participants registering from 22 January 2005 may NOT be included in the Users' Meeting and Workshops lists of Participants.

The payment of the fees is part of the electronic Registration Application: it can be made through a SECURE ONLINE PAYMENT system. For other means of payment (Bank Cheque and Bank Transfer), please print out the Payment Details Form (last page of the Registration Application) and return it to the Meeting Secretariat, together with your payment as soon as possible, and before Friday 21 January 2005.

 

Fees

Please note that all fees are VAT INCLUSIVE. A registration fee of 110 Euro will be charged for the meeting. This fee entitles you to attend:

  • the Users' Meeting plenary sessions,
  • the workshops,

and covers:

  • Four (4) meals at the ESRF restaurant (cost of an extra meal ticket: 8 Euro),
  • The Users’ Meeting dinner on Tuesday 8 February,
  • Refreshments, coffee.

The registration fee is waived for Invited Speakers, and for persons receiving a salary or allowance from the ESRF.

Accompanying persons are welcome to attend the Users' Meeting dinner on Tuesday evening, 8th February, at an additional cost of 15 Euro per person. Please be aware that rules applying to the site do not allow us to accommodate accompanying persons in the Guesthouse.

Receipt

A receipt is issued once the payment has been registered. A copy of this receipt is given to the participant when registering at the Users' Meeting 2005 or for the workshop(s).

Please send a copy of the bank transfer with your Payment Form, to avoid confusion, and bring a copy with you to the meeting, as proof of payment. Accommodation

Participants are requested to meet their own accommodation expenses. The User Office can, however, assist you with bookings, and a number of pre-reservations have been made in the Guesthouse on the ESRF site, and in hotels close to the railway station in central Grenoble. Please note that for security reasons, the ESRF Guesthouse is restricted to persons participating in the meeting, and is not available for accompanying persons; further, children under 16 are not permitted on site.

Meals

The Registration Fee covers 4 meals (ESRF Restaurant), refreshments, and the User Meeting dinner on Tuesday 8 February. For other meals, participants are free to make their own arrangements, and a list of restaurants will be available at the meeting reception desk. Arrangements will be made with the canteen on site to enable participants to eat there in the evenings, between 19:00 and 20:00 hours. You may if you wish, purchase additional meal vouchers for the ESRF canteen, at a cost of 8 Euro per meal (see the Payment Form).

Refreshments - tea, coffee and fruit juice - will be provided during the main meeting and workshops.

Travel arrangements - How to reach Grenoble and the ESRF

As in the past, participants are requested to make their own travel arrangements to and from Grenoble, and to cover their own travel expenses. The map shows the location of the ESRF.

Bus Connections from Grenoble downtown (hotels ) to the ESRF

The Bus 34 "Poisat - Grenoble -  Polygone Scientifique" links the ESRF with Grenoble Centre and the railway station. There is a bus stop next to the hotels listed above. The journey takes approximately 10 minutes.

Passport and Visas

Please check with the nearest French Consulate or your travel agent well in advance of the meeting, for up-to-date information on visa requirements.

Shops and Services

Shops, banks and postal services can be found in central Grenoble. Please note that banks are closed on Saturdays and Sundays.

Weather

February in Grenoble is frequently crisp and cold. The average maximum temperature for mid-February is 8°C, and average minimum temperature 0°C. Frost and snow are possible, so you are advised to bring gloves and warm, weatherproof clothing and footwear. The forecast for Grenoble for the next 4 days is available at Yahoo Weather - Grenoble. If you intend to ski, remember also to pack sunglasses and protective sun cream.
